Irrefutable Health default cancellation policy:

Appointments booked may be modified or cancelled through the patient portal or by phone during business hours without charge up until 24 work-day hours before the appointment. Irrefutable Health donates 50% of the missed appointment amount to charity.

Online purchases by card may be refunded online through the patient portal, however, for other payment types they must be refunded in person.

There are several exceptions to this default policy:

  • Functional Medicine GP: 7 days notice cancellation policy applies; Irrefutable Health reserves the right to reschedule or cancel appointments where medical history intake is not completed in advance of the 7 day period.
  • Functional Medicine Nutritional Therapy. 48 work-day hours cancellation policy applies. Irrefutable Health reserves the right to reschedule or cancel appointments where medical history intake is not completed in advance of the 48 hour period.

Work-days are Monday through Saturday where the practice has opening hours.

At The Tri-Health Group (THG) we are dedicated to protecting your privacy.  We understand your concerns about what happens to the information you provide to us.  As a Practice Member of Irrefutable Health, a THG company, this Privacy Policy tells you what to expect when registering for your THG card which gives you a clinic access door key, access to your clinic personal portal and the loyalty programme.  A separate Privacy Policy applies to your health records which are held and stored solely by Irrefutable Health and can be found here.

What information do we collect from you?

When you register for your clinic access door key, your clinic personal portal and the loyalty programme as an Irrefutable Health Practice Member, THG collects certain personal information from you, including (among other things) your name, address, contact details, allergens, and your comments on general health and health interests.

How will this information be used?

Your information will be used to enable you to use your PIN protected THG Card to check into both the building and the clinic, to access your electronic health record (eHR) stored in Irrefutable Heath, as well as collecting points via the THG loyalty programme.  In addition, your information allows us to process your requests for assistance or provide information in connection with your Membership.  We will keep your THG personal information in line with our retention policy which ensures that we keep your details for no longer than is necessary.  Your THG information will be retained in a secure environment and access to it will be restricted according to the ‘need to know' principle.

We will also use your information to send you personally relevant information, service announcements, administrative messages, news, offers, and other relevant information and updates from the companies within THG.  You may unsubscribe from some of these communications at any time.  Details of how to unsubscribe from emails will be included with each email we send you.  Even if you have opted out of receiving other communications from us, please be aware that there may be times when it is necessary for us to contact you such as for administrative or operational reasons by email, by telephone or post.   

To whom will we provide your information?

We will only provide your information to other companies within THG and their employees, to potential purchasers of or investors in THG and/or to third party data processing service providers or research processing service providers who process your information on our behalf in accordance with our instructions.  This enables us to provide the Membership service to you and we will only ever do so as permitted by and in accordance with applicable data protection law.  By becoming a Practice Member you acknowledge and accept that we may need to disclose your information in those limited circumstances and for the purposes described.  We will not pass your contact or health details to any other third parties or companies outside THG for marketing purposes.

Access to personal information

Your Practice Member portal enables you to access your personal health records, your individualised lifestyle recommendations, lab test results and living document medication and supplements charts 24 hours a day, 7 days a week.  Services are provided by THG in the manner permitted by these terms.  You may copy, modify, or upload or download any part of your personal health record.  

Individuals can find out what personal information we hold by making a ‘subject access request' under the Data Protection Act 1998. In response to such a request, we will:

  • give you a description of the personal information;

  • tell you why we are holding it;

  • tell you who it could be disclosed to; and

  • let you have a copy of the information in an intelligible form.

To make a request to the THG to see the personal information we hold you need to put a request in writing using the contact details at the end of this notice.  You can ask us to correct any mistakes by contacting us using the details below.

Complaints and queries

We try to meet the highest standards when collecting and using personal information.  For this reason we take any complaints we receive about this seriously.  We encourage people to bring it to our attention if they think our collection or use of personal information is unfair, misleading or inappropriate.

Disclosure of personal information

In the majority of cases we will not disclose your personal information to others unless we have previously gained your consent. However there may be circumstances where we may be required to disclose your personal information without your consent e.g. where we are required by law to disclose information or where the information is required to prevent or detect a crime. In the case of all disclosures we will always ensure the disclosure is legitimate and proportionate for the purpose.

Changes to this Privacy notice

Occasionally, to better protect you and in accordance with the law, we may need to update our Privacy Policy. We reserve the right to amend, update or replace this Privacy Policy at any time and your continued use of your THG Card will constitute your acceptance of any such changes we may make.  Any changes we make will be shown here, so please make sure you check this page from time to time. At the start of this privacy notice we will tell you when it was last updated.

Using our Services
You must follow any policies made available to you regarding the Services.

Using your THG Card to access your personal records
Your THG Card gives you access to your health records via the IH Practice Member portal.  You will be given a temporary personal PIN which will give you cloud-based access 24 hours a day, 7 days a week, to upload, submit, store, send or retrieve content from your personal health record.  You retain ownership and responsibility for the content and any information transferred through the portal.  

We recommend you change your temporary personal PIN to another of your choice.  If you forget your PIN, we can reset it for you by supplying another temporary personal PIN.  To protect your health record, please keep your PIN confidential.  You are responsible for keeping your PIN safe and secure; we recommend that you do not use your PIN for other third-party applications.  If you learn of or suspect any unauthorised use of your card, PIN or lose your THG Card, you must notify us immediately to cancel your card and/or reset your PIN.

Using your THG card as a door key

Your THG Card gives you personal access to the building and the clinic.  Do not share your card with an unregistered party, or interfere with our Services, or try to access them using a method other than the interface and the instructions that we provide.  We may suspend or stop providing our Services to you if you do not comply with our terms or policies or if we suspect misconduct or fraud.

Using your THG card as a loyalty card

Your THG card will enable you to collect loyalty points on purchases of products and services from THG companies which can be redeemed on products and services from the same THG companies.  The full terms and conditions for the loyalty programme will be available at the launch date.

Modifying and/or Terminating our Services

We are constantly changing and improving our THG Services.  We may add or remove functionalities or features and we may suspend or stop a THG Service altogether.  You can stop using our THG Services at any time, although we would be sorry to see you go.  THG may also stop providing Services to you or add or create new limits to our Services at any time.  We believe that you own and have a personal responsibility for your health data, and creating and preserving your access to such data is important.  If we discontinue a Service, where reasonably possible, we will give you reasonable advance notice and a chance to remove information from that Service.

Our Warranties and Disclaimers
We provide our Services using a commercially reasonable level of skill and care and we hope that you will enjoy using them.  However, there are certain things that we do not promise about our Services.  OTHER THAN AS EXPRESSLY SET OUT IN THESE TERMS OR ADDITIONAL TERMS, NEITHER THG OR IH NOR ITS SUPPLIERS OR DISTRIBUTORS MAKES ANY SPECIFIC PROMISES ABOUT THE SERVICES.  FOR EXAMPLE, WE DO NOT MAKE ANY COMMITMENTS ABOUT THE CONTENT WITHIN THE SERVICES, THE SPECIFIC FUNCTIONS OF THE SERVICES OR THEIR RELIABILITY, AVAILABILITY OR ABILITY TO MEET YOUR NEEDS.  WE PROVIDE THE SERVICES “AS IS”.

Changes to these Terms & Conditions

We may modify these terms or any additional terms that apply to the THG Card service to, for example, reflect changes to the law or changes to our THG Card Services. You should look at the terms regularly.  We will post notice of modifications to these terms on this page.  We will post notice of modified additional terms in the applicable Service.  Changes will not apply retrospectively and will become effective no earlier than fourteen days after they are posted. However, changes addressing new functions for a Service or changes made for legal reasons will be effective immediately.  If you do not agree to the modified terms for a Service, you should discontinue your use of that Service.  If there is any inconsistency between these terms and the additional terms, the additional terms will prevail to the extent of the inconsistency.
About these Terms
These terms govern the relationship between THG and you. They do not create any third party beneficiary rights.  If you do not comply with these terms and we do not take action immediately, this doesn’t mean that we are giving up any rights that we may have (such as taking action in the future).  If it turns out that a particular term is not enforceable, this will not affect any other terms.
